RE:  ACCESS Materials Arrival and Additional Materials Ordering 
Your state's ACCESS for ELLs and Alternate ACCESS for ELLs test materials will be delivered on Monday, December 7, 2020.  Your Additional Materials Ordering Window begins on Monday, December 7, 2020 and ends on Friday, March 26, 2021.

The initial test materials will be shipped to the address that is listed in WIDA AMS under Materials > Material Ordering.  Locate the address by selecting the correct administration, and district filter set to All.  Click Show Materials.  The address will be at the bottom of the Order Materials sub tab.  
All materials shipped are secure and must be signed for upon delivery.  Please notify the correct staff at those addresses that a secure testing shipment will be arriving on the date listed above.  

Along with the test materials ordered during the initial material ordering window, the district will receive the following information in its shipment.  
  • Packing List - Lists all materials shipped to the district.
  • Security Checklist - Lists all secure materials shipped to the district (with barcode ranges).
  • School Box Range Sheet - Shows the number of boxes packaged for each site within a district.  For district sites, the School Box Range Sheet will identify the number of boxes packaged for each school and the district.  
These ancillary materials are used to inventory the materials that were received for testing.  Every district will have a Security Checklist.  It is the responsibility of the district personnel to verify the secure materials against the checklist.
Any discrepancies found in the secure materials should be noted on the Accountability Form located in WIDA AMS under Materials > Accountability Form.  Select the school with the material discrepancy.   At the bottom of the list of materials, there is a space labeled "Record reasons for discrepancies here" Record the secure barcode of the material and list the discrepancy.  
During your state's Additional Materials Ordering window, you may order additional test materials in WIDA AMS as needed.  

Note the following:  
  • The initial shipment included extra copies of materials.  The extra materials must be used before any orders for additional materials may be placed.    
  • Additional orders must be placed by District Test Coordinators only, and these orders will be shipped directly to the district.
  • Test Administrators that need additional materials must consult with a District Test Coordinator to determine whether the district has the material on hand or whether an order for additional materials may be placed.
To order additional materials, log into WIDA AMS and select Materials > Additional Materials.  Then, select the Administration, District, and the District-Level Additional Orders Only Site.  The Add Order button will activate once the district-level ordering site is selected.  
Important Note: The District-Level Additional Orders Only Site is only to be used for Additional Ordering, not initial material ordering.

A list of materials for ACCESS for ELLs and Alternate ACCESS for ELLs will appear.  Select the amount of materials needed for each grade and tier.
If Additional Materials are necessary to order, here are the additional material ordering recommendations:

Kindergarten ACCESS for ELLs
  • Kindergarten Kit (1 per 15 students)
  • Student Storybook
  • Activity Board
  • Cards and Card Pouch Booklet
  • Test Administrator Script
  • Kindergarten Student Response Booklet (1 per student)
  • Kindergarten Test Administrator Script (1 per 15 students): this TA script is within the Kindergarten Kit; however, in the event that a stand-alone TA script is needed, one can be ordered separately via Additional Materials within WIDA AMS.
Alternate ACCESS for ELLs
  • Student Response booklet by grade cluster (1 per student)
  • Listening, Reading, and Speaking Test Booklet (1 per 4 students)
  • Test Administrator Script (1 per 4 students)
ACCESS for ELLs Paper (must know grade and tier)
  • Listening, Reading, and Writing Test Booklet (1 per student)
  • Speaking Test booklet (1 per 8 students)
  • Listening and Speaking CDs
  • Test Administrator Script (1 per 8 students)
ACCESS for ELLs Online (must know grade and tier)
  • Grades 1-3 Online Writing Test booklet (1 per student)
  • Grades 4-12 Online Writing Response booklets (if handwriting response)
  • Grades 1 and 2-3 Test Administrator Script (1 per 8 students)
Note: Grades 4-12 Test Administrator Script is available in the Download Library of the WIDA Secure Portal.  

Large Print Accommodated Kits (must know grade and tier):  
  • Test Administrator Script
  • Listening and Speaking Tests CD
  • Speaking Large Print Test Booklet
  • Large Print Test Booklet
  • Transcription Test Booklet

Braille Accommodated Kits (must know grade and braille format)

If needed, additional DRC Return Labels and UPS Return Shipping labels can be ordered.  These orders will be emailed and need to be printed locally.  

Once the additional materials order is complete, click Submit

Additional Material Ordering Notes:
  • Orders generally take up to three days to process upon submission and are shipped ground in the contiguous 48 states (one to four days depending on location).  Please order additional materials sufficiently in advance.
  • Orders will not be expedited unless it is a rare emergency.  
  • The Additional Materials Ordering window ends one week BEFORE the testing window ends.  Additional Materials cannot be ordered in the final week of testing.  
  • You can find your ACCESS for ELLs test window on your states page on the WIDA Website.
